Office/Fulfillment Assistant

Our part-time (10 to 15 hours/week) Office Assistant helps keep our orders, building, and team running smoothly. You must be passionate about our mission: to help young children and the adults who care for them. To accomplish this, you must love being part of a team and have the initiative and drive to act independently. You must also be eager to help in other tasks as necessary as we work together to meet the day-to-day needs of all aspects of our growing, environmentally-minded small business. 

WHAT YOU’LL DO:

  • Enter orders into QuickBooks and prepare sales estimates, sales receipts, packing slips, and invoices; Process returns/refunds
  • Support order fulfillment using Shipstation
  • Create QuickBooks bank deposits (light bookkeeping) so we can easily reconcile our accounts
  • Create purchase orders and pay bills
  • Keep an eye on supply inventories and order supplies just-in-time
  • Update our production log (Google Sheet) and maintain inventory listings on Shopify/Amazon
  • Proofread
  • Track down shipments and file claims when needed
  • Backup our files onto our Google drive and keep our apps up-to-date
  • Be vigilant in maintaining/establishing organization and a tidy workplace

WHAT YOU NEED:

  • Effortless skill at bookkeeping (QuickBooks Pro) and technology
  • Ability to work weekday mornings on-site in Westhampton, MA
  • A track record of success and over-achievement
  • 5+ years’ office experience
  • Associate’s Degree in Business (an equivalent combination of education and experience may be considered)
  • Strong technology skills (Word, Excel, Shopify, QuickBooks, etc.)
  • A positive, enthusiastic, tenacious attitude
  • Happiness wearing many hats
  • Knowledge of the Montessori approach a plus
